Description & Requirements
This position directly supports two C-suite executives: the Regional Managing Director and the Regional Finance Director of the Automotive Interests division (operating under the Cycle & Carriage banner in Singapore and Malaysia, as well as a 49.9% stake in Tunas Ridean in Indonesia). The ideal candidate is highly organized, has strong time management skills, and can maintain a calm demeanor under pressure.
The Role:
- Provide daily secretarial support, including calendar management, scheduling, appointments, and logistical arrangements for virtual or physical meetings alike.
- Arrange business travel itineraries, including flight and hotel bookings, local transportation, visa applications, and post-travel expense claims.
- Ensure that all claims are submitted in accordance with stipulated guidelines.
- Ensure accuracy in reporting for gift handling (purchases and declarations in line with policy guidelines).
- Prepare agendas, minutes, and meeting materials for management meetings.
- Manage and prepare regular leadership celebrations and engagements.
- Liaise with internal and external partners across the world and the Hong Kong head office to maintain close and consistent communication.
- Collaborate closely with the executive secretarial team at the Head Office.
- Undertake other ad-hoc support duties and projects as assigned.
- At least 5 years of secretarial experience supporting C-suite or board-level senior executives. Experience in listed companies or MNCs is advantageous.
- Strong communication and interpersonal skills.
- Proactive, detail-oriented, and dedicated to delivering your best as an individual contributor.
- Excellent time management, planning, and organizational skills.
- Exceptional judgment and discretion in handling confidential information.
- Ability to remain calm, work under pressure, handle unforeseen changes or requests with maturity, and manage priorities efficiently and accurately.
- Digitally savvy and able to navigate multiple mobile devices and platforms.
- Strong command of written and spoken English is required.
- The candidate must possess a good balance of tact/diplomacy, as well as a strong sense of responsibility.
