Job Description

The Opportunity 

This dynamic role encompasses comprehensive oversight of real estate and facilities project management within a fast-paced corporate environment. The Assistant Manager will play a pivotal role in delivering high-quality project outcomes to support the Corporate Real Estate (CRE) Team at Cycle and Carriage Industries. Reporting directly to the Head of Corporate Real Estate, the incumbent will drive strategic initiatives, ensuring seamless execution of facilities projects that align with organizational objectives. 

The Role 

People (Soft Skills) 

  • Stakeholder Management: Build and maintain strong relationships with internal and external stakeholders, fostering trust and alignment to ensure project success. 
  • Conflict Management: Proactively resolve disputes and address challenges among project teams, vendors, and stakeholders with diplomacy and tact. 
  • Team Performance and Development: Mentor and support team members, promoting a collaborative culture and enhancing professional growth within the CRE team. 
  • Negotiation: Skillfully negotiate contracts, terms, and agreements to achieve favorable outcomes for the organization while maintaining positive vendor relationships. 
  • Collaboration and Engagement: Foster cross-functional collaboration, engaging stakeholders at all levels to drive project alignment and momentum. 
  • Decision-Making: Analyze complex situations, propose innovative solutions, and make calculated decisions to advance project goals effectively. 

Process (Technical Skills) 

  • Project Lifecycle Management: Oversee the end-to-end project lifecycle, adhering to industry-standard project management methodologies (e.g., PMI/PMBOK). 
  • Construction and Renovation Expertise: Demonstrate a strong understanding of construction and renovation practices, including familiarity with industry standards and best practices. 
  • Independent Research: Conduct thorough research to address complex or unfamiliar challenges, ensuring informed decision-making and innovative solutions. 
  • Effective Communication: Clearly articulate project updates, risks, and strategies to diverse audiences, ensuring alignment and transparency. 
  • Risk Management: Identify, assess, and mitigate project risks to ensure successful delivery and minimize disruptions. 
  • Budget and Resource Management: Develop and monitor project budgets, optimizing resource allocation to achieve cost-effective outcomes. 
  • Schedule Management: Create and manage detailed project schedules, ensuring timely completion of milestones and deliverables. 
  • Quality Management: Uphold high standards of quality across all project deliverables, ensuring alignment with organizational expectations. 
  • Scope Management: Define and control project scope to prevent scope creep and ensure alignment with agreed objectives. 
  • Change Management: Effectively manage project changes, ensuring proper documentation, approval, and communication of adjustments. 
  • Procurement Management: Oversee procurement processes, including vendor selection, contract negotiation, and compliance with organizational policies. 
  • Governance: Establish and maintain robust governance frameworks to ensure accountability and compliance throughout the project lifecycle. 
  • CRE Body of Knowledge: Contribute to the development and maintenance of a comprehensive CRE knowledge base to support team learning and process improvement. 

Business Environment 

  • Compliance: Ensure all CRE projects comply with internal policies and external regulatory standards, including local building codes and safety regulations. 
  • Support Organizational and Business-Driven Changes: Facilitate real estate initiatives that align with organizational growth, restructuring, or strategic business objectives. 

Job Requirements

The Requirements 

  • All projects must be compliant with local authorities; delivered on time, within scope and budget. 
  • Manage relationships with all internal / external stakeholders and proper coordination with the in-house facilities management team. 
  • Coordinate with internal stakeholders and external consultants/contractors on project deliverables throughout the project. 
  • Support the project procurement process, inclusive preparations of RFP documentations, liaising with internal stakeholders. 
  • Accountable in providing stakeholders with routine status updates of projects and actively communicating and mitigating technical risks and issues. 
  • Manage the onboarding of contractors with kick-off meetings, safety orientations, PTWs, etc. 
  • Document existing conditions prior to construction. 
  • Manage contractor’s works throughout construction. 
  • Contract administration covering progress reports, payment certifications, PMIs, etc. 
  • Manage discrepancies, punch list and defects rectification. 
  • Review/Verify Handover Documents submitted by contractors. 
  • Manage handover process and conduct trainings for stakeholders/end-users. 
  • Closeout projects by conducting testing, getting statutory approvals, substantial completion, and final reconciliations and generate closeout report. 
  • Coordinate with facilities team on handover process and perform testing and commissioning checks and follow up. 
  • Liaising with user's feedback on real estate related matters. 
  • Perform other real estate related duties as assigned. 

The Candidate 

  • Relevant facilities / project management, construction management, engineering background preferred (PMP Certification would be an advantage). 
  • 2 to 5 years of hands-on experience in managing projects. 
  • Experience with office / industrial fit out requirements and local building regulatory code compliance. 
  • Familiar with project management processes, and managing contractors / vendors in a methodical, meticulous, and organized manner. 
  • A good problem solver and negotiator. 
  • Able to adapt and work in a fast-paced environment, have flexibility to adjust and react to changing priorities. 
  • Highly motivated (a self-starter) and excellent attention to detail.
